How to Respond to Google Reviews
Collecting reviews is half the work. Replying to them matters just as much. Google favors active profiles, and future customers read your replies as closely as they read the reviews. Here is how to do it well, with examples.
Why you should reply to every review
- It signals an active profile: replying shows Google and visitors that the business is present and paying attention.
- It reassures: a future customer who sees thoughtful replies feels safe, even when one review is lukewarm.
- It builds loyalty: thanking a happy customer strengthens the relationship.
Aim to reply to every review, positive and negative, within a few days.
Replying to a positive review
Keep it short, genuine, personal. Say thank you, mention a detail if you can, invite them back.
Thanks so much, {first_name}! Glad the work hit the mark. We look forward to seeing you again at {business}.
Avoid pasting the exact same reply under every review. Vary it a little.
Replying to a negative review
This is where it counts. A negative review handled well can reassure a reader more than a positive one. The method:
- Stay calm and civil, never defensive.
- Thank them for the feedback and acknowledge how they felt.
- Add a fact or some context, without arguing.
- Offer to continue in private (phone, email).
Hi {first_name}, thank you for taking the time to share this, and sorry the experience fell short. We would like to understand what happened: could you reach us at {phone}? We will make it right.
Never share personal details, and never dispute publicly whether the customer is legitimate.
Mistakes to avoid
- Ignoring negative reviews: that is the worst signal you can send.
- Replying in the heat of the moment, with an edge in your voice.
- Pasting the same reply everywhere.
- Asking publicly for the review to be taken down.
Where collection fits in
The more recent reviews you have, the less weight a single negative one carries. Steady collection dilutes the occasional bad experience and keeps your rating healthy. That is what Avilio does: it asks every customer automatically, at the right moment, so reviews keep coming in. Replying is then up to you.
